Who is responsible
Mezzarion Limited (UK) is responsible for the current Watsmen recruitment intake and decides how the information described here is used. The interim privacy contact is Eric at eric@watsmen.com. Please use “Recruitment privacy” in your subject line.
This notice covers direct applications, related recruitment correspondence, an optional future-opportunities talent pool and initial requests from agencies and independent recruiters. The employing entity and any additional employment privacy information will be confirmed before appointment; this notice does not identify Mezzarion Limited as the employer for every advertised role.
What we collect and where it comes from
For direct applications, we collect your selected role and reference, name, email address, current city and country, relevant experience and qualifications, explanation of suitability, and availability or notice period. Phone number and professional profile, portfolio or hosted CV links are optional. The application form does not require a CV upload.
We also keep relevant correspondence, assessment notes, recruitment outcomes and any talent-pool consent or withdrawal record. If you share a professional link, we may review the relevant material you choose to make available there. Please leave out identity documents, bank details, health information and confidential employer or client information. If an adjustment or a later check requires additional information, contact Eric first so we can explain the purpose and agree an appropriate channel.
Recruiter requests collect your name, business name where applicable, work email, country or region, phone number, professional website or LinkedIn, selected roles, specialisms and locations, and your short introduction. Do not submit candidate information through the recruiter access-request form. Any approved candidate-submission route will be explained separately before use.
Required fields are marked on each form. Without enough information to assess a role or request, we may be unable to proceed. Providers may process technical information such as request times, IP addresses and browser details for hosting, security and form delivery.
How and why we use information
- Review your application against the role, communicate with you and manage the recruitment process.
- Review a recruiter’s relevant coverage and experience, decide whether to approve a request and discuss any proposed commercial terms.
- Maintain proportionate records, protect the intake from misuse and meet applicable legal obligations or address legal claims.
- Only if you separately opt in, consider and contact you about future opportunities during the talent-pool period.
Where a legal basis is required, application handling uses steps you request before a possible employment agreement and, where appropriate, legitimate interests in conducting and documenting a fair recruitment process. Recruiter-request review and proportionate recordkeeping use legitimate interests in managing recruitment relationships, subject to your rights. Legal obligations apply where retention or other processing is required by law. The optional talent pool relies on your separate consent.
Talent-pool consent is not required to apply and choosing not to join does not affect your current application. Recruitment and recruiter-approval decisions are reviewed by people; the intake is not intended to make solely automated decisions with legal or similarly significant effects.
Access and service providers
Internal access is limited to Eric and authorised hiring staff who need the information for the relevant recruitment work.
Direct applications are collected through Tally and recorded through its Google Sheets integration for recruitment review. Tally also provides email notifications to Eric’s configured account. Tally, Google and the relevant email services therefore process information to provide forms, storage, notifications and related security services. This is distinct from access by our hiring staff.
Recruiter access requests use the Watsmen website contact system: the information is stored in its website database and delivered by email through FormSubmit. Website hosting and database services are provided through OpenAI Sites and Cloudflare. FormSubmit delivery may include a direct connection from your browser. Provider logs, copies and backups may follow their own service cycles.
We do not share application details with recruiters merely because they request or receive access. Any additional submission system or recipient will be explained before that route is used. Limited disclosure may be necessary under applicable law or for a legal claim.
International processing
The intake uses providers that operate internationally, and information may be processed outside your country. An advertised job location does not mean application information is stored or handled only in that country.
Applicable international-transfer requirements still apply. Contact Eric for information about the recipient locations and safeguards relevant to your application or request. We will provide the applicable information before any new recruitment route or sharing arrangement is used.
Retention and your optional talent pool
- Unsuccessful or closed applications: our standard retention period is six months from the final recruitment outcome, your withdrawal or cancellation of the recruitment process, as applicable. Records are then due for deletion or anonymisation, except for information required by an applicable legal obligation or a necessary legal-claims hold.
- Optional talent pool: with your separate affirmative opt-in, we keep relevant application details for future opportunities for 12 months from that opt-in. A further period requires a new affirmative opt-in; silence does not renew it. Otherwise the talent-pool record is due for removal at expiry.
- Withdrawal: email eric@watsmen.com to withdraw from the talent pool at any time. We will stop future-opportunity contact and remove your details from the pool. Any narrow record needed to evidence the request, comply with law or address a claim is kept separately and is not used for future-opportunity contact. Withdrawal does not affect prior lawful processing or automatically withdraw a current application.
- Selected candidates: information needed for employment becomes a separate HR record under the applicable employment notice and retention schedule. It is not kept indefinitely as a recruitment talent-pool record.
- Recruiter requests: records are kept while the request or any approved recruitment relationship remains active and for a proportionate period needed to resolve related correspondence, legal obligations or claims. Ask Eric for the period and basis relevant to your request; the applicant and talent-pool periods do not automatically apply to commercial engagement records.
Retention requires manual review across the form, spreadsheet, email and other relevant copies. This notice is not a promise of automatic deletion. Any exception must be limited to necessary records for the applicable reason; provider backups and legal holds may prevent immediate removal of every copy.
Questions, withdrawal and your rights
Email Eric at eric@watsmen.com to ask about your information, correct it, withdraw an application or talent-pool consent, or request deletion. Include your role reference if available, but do not send identity documents unless an appropriate verification route has been agreed.
Depending on the law that applies, you may have rights of access, correction, erasure, restriction, objection and data portability. Some records may need to be retained under a legal obligation or necessary claims hold; we will explain an applicable limitation. We will address requests within the time required by applicable law.
You may complain to the UK Information Commissioner’s Office or another competent data protection authority. You do not need to contact us first to exercise that right.
