Who is responsible
Watsmen (“we”, “us” or “our”) is responsible for deciding how personal information is used to operate this website and handle the enquiries described in this policy. For privacy questions or requests, contact info@watsmen.com and use “Privacy enquiry” in the subject line.
This policy covers this website, its contact form and related enquiry correspondence. Applications and recruiter access requests are covered by our Applicant and recruiter privacy notice, which takes precedence for that recruitment processing. A project, employment, supplier or other business relationship may require a separate privacy notice describing additional processing. We will provide that information when it is relevant.
Information we collect
We collect the information you provide through our contact form or by email:
- Your name, email address, phone number and country or region.
- Your organisation and role, if provided, and your preferred contact method.
- Your enquiry type, area of interest, project location, requested timeline, subject, message and subsequent correspondence.
We also record an enquiry reference, submission time, the version of the enquiry consent statement and email-delivery status. Hosting and communication providers may process technical information such as IP addresses, browser or device details, request times and security logs to deliver and protect their services.
The form marks required fields with an asterisk. A phone number is required even when email is your preferred contact method. Without the required fields, the form cannot be submitted. Optional fields can be left blank. You can also contact us directly by email if you prefer not to use the form.
How and why we use information
- Understand your requirement, assess its relevance and direct it to the appropriate person.
- Respond to you and manage the discussion or steps you request before a possible engagement.
- Keep a record of the enquiry, correspondence and relevant permissions.
- Operate the website, prevent misuse, investigate delivery problems and protect information.

Sending an enquiry does not subscribe you to a marketing list. We do not use this website to sell personal information, serve targeted advertising or make solely automated decisions that have legal or similarly significant effects on you.
The basis for processing
Where data protection law requires a legal basis, we use the basis appropriate to the activity:
- Consent: the contact form asks for your permission to use your details to review and respond to the enquiry. You can withdraw that permission by contacting us.
- Requested steps or an agreement: where necessary, we process information to take steps you request before entering an agreement or to perform an agreement with you.
- Legitimate interests, where recognised by law: we have an interest in managing business correspondence, keeping appropriate records and protecting the website, subject to your rights and interests.
- Legal obligations: we process or retain information when an applicable legal requirement obliges us to do so.
Withdrawing consent does not affect processing that was lawful before withdrawal. We may still need to keep limited information under another applicable basis, such as a legal recordkeeping obligation. We will explain this if it affects your request.
Storage, delivery and sharing
Contact-form submissions are saved in our website database and sent to Watsmen by email through FormSubmit. Email delivery may involve a direct connection from your browser to FormSubmit. Our website uses OpenAI Sites and Cloudflare hosting and database services; our email service also processes the messages delivered to Watsmen.
Access is intended for authorised people handling the enquiry and service providers supporting website hosting, storage, security and communications. If a specialist or delivery partner needs personal information to assess your requirement, we will explain the proposed sharing and obtain permission where required. We may also disclose information where required by law or necessary to protect lawful rights.
FormSubmit may retain submission copies and technical information under its own service practices. Read the FormSubmit privacy policy (PDF)PDF download (English only). Its retention arrangements are separate from the records held in Watsmen’s database and email correspondence.
International processing
Watsmen’s website and communication providers operate internationally. Information may therefore be stored or processed in a country other than your own, where data protection laws may differ.
International processing remains subject to applicable transfer requirements; using this website is not a waiver of those protections. You may contact us for information about the locations and transfer arrangements relevant to your enquiry, including any safeguards required by the law that applies.
How long information is kept
Retention depends on the purpose of the record. We consider the time needed to answer and follow up on an enquiry, any resulting business relationship, applicable recordkeeping requirements and the need to resolve a complaint or legal claim. An enquiry acknowledgement does not mean that its stored record has been deleted.
Our standard is to retain personal information only for as long as it is needed for those purposes, then delete it or make it anonymous. There is no single retention period that applies to every enquiry. You can ask us to explain the retention relevant to your information or request deletion. Where a record must be retained, we will explain the reason. Provider logs, email copies and backups may have separate retention cycles.
Cookies and technical information
Watsmen has not added advertising pixels or audience-analytics tools to this website. The enquiry form does not save its contents in browser local storage. Hosting, security and form-delivery services may use technical logs or essential technologies needed to operate and protect their services.
You can manage cookies through your browser settings, although blocking essential technologies may affect some services. If we introduce optional analytics or advertising technologies, we will update this notice and seek consent before using them where required.
Security and information you share
The website uses HTTPS, and enquiry records are not published in a public directory or accessible through a public enquiry-listing page. No internet transmission or storage system can be guaranteed completely secure.
Send only the information needed for the enquiry. Do not include passwords, identity documents, payment-card details, sensitive financial information or other sensitive personal information. Before sharing confidential project documents, contact us to agree an appropriate channel and any necessary confidentiality arrangements. If you provide another person’s details, make sure you are authorised to do so and share this policy with them.
Your choices and rights
Depending on the law that applies, you may have the right to:
- Ask whether we hold your personal information and obtain access to it.
- Correct inaccurate information or request deletion.
- Restrict or object to certain processing, including processing based on legitimate interests.
- Receive or transfer information in a portable format where the right applies.

Please do not send an identity document unless we have explained why it is needed and agreed a suitable way to provide it.
We will address requests within the time required by applicable law and explain any lawful limitation. You do not have to give up a right to complain to an authority in order to contact us first.
Children’s information
This is a corporate website and is not directed at children. We do not knowingly seek children’s personal information through the enquiry form. If you believe a child has provided information that should not be held, please contact us so we can review it and take appropriate action.
Changes and related information
We may update this policy when website practices or applicable requirements change. The effective date above identifies this version. Material changes will be highlighted on the website or communicated directly where appropriate; any new consent required by law will be requested separately.
